Privacy Policy
This policy explains what Social Manager (operated by Pro Media Mogul) collects and how it is used. We are committed to the Protection of Personal Information Act (POPIA).
What we collect
- Content you give us to publish: the videos, images and captions you or your team upload for a post. They are stored on our server so that the post can be published and so that the post can be shown again in your reports afterwards.
- Connected-platform data: aggregate performance metrics (sessions, page views, orders, email opens and clicks, link clicks, followers, video views, likes, comments, shares) and the identifiers needed to fetch them (account IDs, video/post IDs, campaign names).
- Access tokens issued when you authorise a platform (e.g. TikTok, Facebook, Google). Tokens are stored encrypted and are used only to publish the posts you have approved and to read the data above.
- Messages and comments: when a business connects its Facebook Page, Instagram or TikTok account, the comments people leave on its posts and, on Facebook and Instagram, the private messages people send to it are delivered to us by the platform, with the sender’s public name, so that the business’s team can read and answer them in Social Manager.
- Contact details of the people who should receive reports and approve posts (name, email address).
What we do not do
We do not sell, rent or share your customers’ messages or personal data, we do not use them for advertising, and we never show one business’s messages to another. We never publish a post that has not been approved in Social Manager. The only things Social Manager sends without a person approving each one are the replies written by the AI assistant described below, and a business can ask us to switch those off at any time.
How data is used
Solely to publish the posts you have approved, to let your team read and answer the messages and comments people send you, and to generate and deliver your reports and dashboards. Data is not sold, rented or shared with advertisers or other third parties. Aggregate metrics are retained to show trends over time; you may request deletion at any time.
Messages, comments and AI replies
Messages and comments are shown only to the team of the business they were sent to. Replies may be written by an AI assistant that works only from that business’s own information, such as its products, prices, opening hours and policies. To write a reply, the text of the message or comment is sent to our AI provider, Anthropic (USA), under commercial terms that do not allow it to be used to train AI models. Complaints, and questions the assistant cannot answer, are passed to a person at the business instead of being answered automatically.
Private messages are stored encrypted. Comments, which are already public on the platform, are stored as they appear there. We keep both only while the business uses Social Manager, or until you ask us to delete them.
TikTok, Meta and Google data
Where you connect these platforms, we use only the scopes shown on the authorisation screen. For TikTok these are: your basic profile information (user.info.basic), your list of videos and their public statistics (video.list), permission to publish the videos and photos you have approved in Social Manager (video.publish), and, only if you choose it, permission to send a video to your TikTok drafts so that you can finish it in the TikTok app (video.upload). We publish nothing else, and we do not download or store other people’s TikTok content. You can revoke access at any time in the platform’s app settings, after which we delete the stored token.
YouTube (YouTube API Services)
Social Manager uses YouTube API Services. When you connect a YouTube channel, we ask Google only for: permission to upload the videos you have approved in Social Manager (youtube.upload), read access to your channel’s list of videos and their public statistics — views, likes and comment counts (youtube.readonly), and read access to your channel’s analytics for your reports (yt-analytics.readonly). We store your channel ID and name, the IDs and statistics of your videos, and an encrypted access token. We do not sell YouTube data or share it with third parties, we do not use it for advertising, and we refresh or delete stored YouTube statistics at least every 30 days.
By using the YouTube features of Social Manager you agree to be bound by the YouTube Terms of Service, and Google’s handling of your data is covered by the Google Privacy Policy. You can revoke Social Manager’s access to your YouTube channel at any time on your Google security settings page; we then stop using it, delete the stored token, and delete the YouTube data we hold for your channel within 30 days.
Security
Data is stored on servers in South Africa, tokens and credentials are encrypted at rest, and access is limited to Pro Media Mogul staff who operate the Service.
